The future of Outlook: What does the transition to the new version mean?

From January 2025, the classic version of Outlook will gradually disappear and give way to the new, cloud-based version of Outlook. This change brings both advantages and disadvantages, especially for SMBs. In this article, we explain what this transition entails and what impact it may have on your business.

Why is Outlook Classic disappearing?

Microsoft has announced that the classic version of Outlook will no longer be available on new Windows PCs starting in 2024. This means that users accustomed to the classic interface will have to switch to the new version of Outlook. The new version is designed to better integrate with other Microsoft 365 services and offers a more modern, streamlined user experience.

Advantages of the new Outlook

The new version of Outlook offers several benefits that can improve productivity and ease of use:

  1. More modern and streamlined user interface: The new Outlook has a fresh design that is simpler and more intuitive than the classic version. This makes using Outlook more accessible, even for new users.
  2. Seamless integration with Microsoft 365: Are you already working with Microsoft Teams, OneDrive or To Do? Then the new Outlook fits in perfectly. You can collaborate directly on shared documents or view tasks without switching apps.
  3. Cloud-first design: The new Outlook runs entirely in the cloud, which means you can access the same emails, calendars and settings from anywhere. This is especially convenient for users who are on the go a lot or work with multiple devices.

Disadvantages of the new Outlook for SME Businesses

While the new version of Outlook offers many advantages, there are also some drawbacks that may be especially relevant to SMBs:

  1. Limited functionality in advanced tasks: Advanced users find that some features are less comprehensive than in the classic version. Rules and filters are not as flexible, and certain add-ins may no longer work.
  2. Less powerful offline functionality: Because the new Outlook is cloud-oriented, offline capabilities are more limited. This may be a problem for users who often work without an Internet connection.
  3. Problems searching for older items: Users have reported that searching for older emails and items is less efficient in the new version.
  4. Less adaptability: The new Outlook offers fewer opportunities to customize the interface and functionality to meet specific needs.
  5. Slower adoption of classic features: Some features that were present in the classic version are not yet fully implemented in the new version.

Outlook Classic will remain available until 2029

Although the new version of Outlook will become the standard from January 2025, the classic version will remain available for now. Microsoft has announced that Outlook Classic will remain available until 2029, but may no longer receive new features or updates. This means that users who want to continue using the classic version can open it manually from the Start menu.

Migration to the new Outlook

Starting January 2025, Microsoft will automatically migrate users from the classic Outlook for Windows to the new Outlook for Windows. Users with Microsoft 365 Business Standard and Premium licenses will be migrated starting Jan. 6, 2025, while users with Microsoft 365 Enterprise licenses will be migrated starting April 1, 2026. Here are some steps you can follow to facilitate the migration:

  1. Preparation: Make sure your employees are aware of the upcoming changes and understand the benefits of the new version. This helps create support and reduces resistance.
  2. Training: Offer training to familiarize your employees with the new interface and functionalities of the new Outlook. This can help make the transition smoother.
  3. Step-by-step Implementation: Perform the migration incrementally to identify and resolve any problems quickly. Start with a small group of users and expand gradually.
  4. Support: Provide adequate support during and after the migration. This can include a help desk, manuals and frequently asked questions.

The transition to the new version of Outlook is inevitable, but it is important to understand both the advantages and disadvantages. For SMBs, this change can present both challenges and opportunities. Not always does everything seem super logical! But we will help our customers with this transition as best we can.
